Lawful bases

Depending on the purpose, MoreLoved Care may rely on contract or steps before a contract, legal obligation, legitimate interests, vital interests, public task where applicable, or consent for genuinely optional uses. The lawful basis is determined for the activity; a website consent box is not used as the default basis for necessary care processing.
Special-category and criminal-offence information

Health, disability and some other information receive additional protection. MoreLoved Care identifies an Article 9 condition, such as health or social-care provision, employment and social-protection law, substantial public interest, vital interests, legal claims or explicit consent where appropriate. Criminal-offence information is processed only where authorised by law and supported by appropriate safeguards.
Children’s information

Where children or young people are involved, information is explained in an age-appropriate way and processed with regard to the child or young person’s rights, parental responsibility, competence, safeguarding and the purpose of the service.
Who we may share information with

Information may be shared with authorised MoreLoved Care staff, care-system and technology providers, health and social-care professionals, local authorities, NHS bodies, commissioners, pharmacies, insurers, legal or professional advisers, regulators, safeguarding bodies, police, emergency services, auditors and others where necessary and lawful. We share the minimum relevant information.
Processors and international transfers

Suppliers processing information for MoreLoved Care are assessed and contractually controlled. Where information is transferred outside the United Kingdom, an approved legal safeguard and transfer-risk assessment are used where required.
How long we keep information

Information is retained according to its purpose, care and regulatory requirements, contract, safeguarding, complaint, employment, legal limitation and security needs. We use an approved retention schedule and securely delete or anonymise information when it is no longer required. You can ask for the retention criteria applying to your record.
Security

Controls include access restrictions, authentication, encryption, secure systems, audit logs, supplier assessment, staff confidentiality, incident management, backup and secure disposal. No system can be guaranteed completely risk free; suspected breaches are investigated and notified where law requires.
Your rights

Depending on the circumstances, you may have rights to be informed, access information, correct it, request erasure or restriction, object, receive portable information and challenge certain automated decisions. Some rights are limited where information must be retained or processed for care, safeguarding, legal or public-interest reasons.
Automated decisions

MoreLoved Care does not use the public website to make solely automated decisions about care acceptance, mental capacity, clinical need or safeguarding. Technology may organise information, but appropriate staff review material decisions.
Marketing and testimonials

Newsletter and marketing choices are separate from care enquiries. Testimonials, photographs and case studies require specific recorded permission for the agreed identity, content, channel and duration. Permission can be withdrawn for future use.
Complaints about information handling

Contact the Data Protection Lead first so that we can review the concern. You also have the right to complain to the Information Commissioner’s Office. Current contact information is available on the ICO website.
Changes to this notice

We update the notice when processing, suppliers, law or services change. The page should display the effective date and previous material changes where appropriate.

Can I ask what information MoreLoved Care holds about me?+

Can I ask for care records to be deleted?+
You can ask, but MoreLoved Care may need to retain records for care, safeguarding, regulatory, contractual or legal reasons.
Do I have to consent to necessary care processing?+
Not always. Necessary care processing may rely on contract, legal duties and health or social-care conditions rather than consent.
Can I withdraw marketing consent?+
Yes. Use the unsubscribe or preference route. This does not affect necessary service communications.
Will my information be sold?+
No. MoreLoved Care does not sell personal information.
